Full Time/Part Time Receptionist/Admin

 

 

We are looking for an enthusiastic and resilient person to join our admin team working on reception and in a variety of other administration tasks essential to the running of a busy medical practice.

 

Applicants will need a pleasant, approachable manner, be a team player, have computer skills, good communication skills and the ability to remain calm whilst busy.  Whilst previous experience of working in a Primary Care, healthcare or customer service environment would be an advantage, it is not essential.  Appropriate training will be provided for the right applicant.

 

Hours worked are negotiable, but the successful applicant will be required to work across Monday to Friday.

Job Summary

 

To provide administrative support and services to all members of the Practice team

 

Job Responsibilities:

 

Reception Duties:

 

Answering the telephone and interacting with patients at Reception.

 

Checking the surgery email for any electronic documents that need to be scanned into a patient medical record or brought to the attention of a GP. This also includes downloading medical photos from the admin email and attaching to a patient medical record following practice policies.

 

Sorting the internal and external mail, date stamping on receipt.

 

Scanning results accurately and attaching scanned document into patient record and code accordingly.

 

Maintaining an accurate log of telephone messages and ensuring that they have been passed onto the appropriate person and ensuring the relevant documentation is made into patients medical record.

 

Preparing samples and mail for collection by internal transport.

 

Retrieve and refile medical records as requested, ensuring that a strict alphabetical order is adhered to.

 

Charging patients the appropriate amount for private work, providing a receipt to the patient and recording the charge in the receipt book.

 

Answering patient queries.

 

New patient registrations.

 

Start/end of the day procedures

 

Ensuring work station, office, kitchen and waiting room are kept clean and tidy and free from obstruction.

 

Arranging appointments with the appropriate clinician for the patients needs and ensuring this is to their satisfaction where possible.

 

Attend and participate in admin/team meetings.

 

Attend any training programme implement by the Practice as part of this employment, such training to include for example, individual performance reviews, Emergency equipment and CPR.

 

Any other appropriate tasks deemed fit by the Practice Manager


 

 

Person Specification

 

Qualifications

 

Essential

GCSE Grade A-C or 9-4 in English and Maths.

Practical experience of working as part of a team

Experience of working under own initiative - it’s a little bit pressured sometimes, you need to be able to handle that

Experience of using IT in a working environment - experience in Excel and word is essential

Excellent customer service skills and ability to communicate confidently with the general public

Excellent communication skills: able to listen effectively, clearly articulate and adapt communication style to facilitate understanding

Confident in dealing with people face to face or over the phone

Problem solving: able to explore and resolve issues calmly under pressure.

 

Desirable

 

Working in General Practice or the NHS is preferred but training will be given to the suitable candidate

Experience using Docman and Emis Web would be an advantage but training will be given

Medical terminology

Experience of customer service

Experience of working within a medical environment
